Exhibitor booth staff

Everything your team needs at the booth, on a phone. No app to install.

Before the show

  1. Watch for the email from the conference with your portal link. Sign in with your email; we send a 6-digit code. There are no passwords.
  2. In the portal, check your booth number on Overview and your description and logo under Company profile.
  3. Add your booth team under Staff badges: name and email for each person. Each one gets a confirmation email with a badge QR and picks up the badge at the kiosk. Tick "Let this person sign in" for anyone who should scan from their own phone. Your booth comes with a set number of badges; the page shows how many are left. Ask the committee if you need more. Your order page, your confirmation email, and the portal Overview all have an Add your staff button that opens this page. When the committee sets a date to add staff by, those pages show it and we send a reminder 30, 14, and 7 days before it while badges are still open. After that date, message the committee for changes. Your booth also comes with a set number of banquet tickets. Tick Banquet ticket for the people who get them (the page shows how many are used) and say whether each will attend. Only staff with a banquet ticket are admitted at the banquet; once the included tickets are used you can buy one for anyone else on the same page.
  4. Open Scan once at your desk and allow the camera, so the browser remembers the permission.

Stamping Passports

Attendees collect a stamp in their Passport at each booth for the closing drawing. Your stamp is made from your logo; Company profile shows how it looks in their book.

  1. Open the portal and tap Scan.
  2. Tap Start camera and point it at the attendee's badge QR or the QR in their conference app.
  3. Green means stamped. The attendee's phone shows your stamp within seconds (Android phones also buzz).
  4. Amber means they were already stamped by your booth. One stamp per attendee per booth.
  5. Red means the badge is not current. Send them to the registration desk.

A small star in the top corner of a badge means the attendee makes purchasing decisions for their agency. If the attendee agreed to share their details, the green or amber result also says Decision maker or Influences purchasing.

Badge will not scan? Type or paste the code under the camera. Bright sun or a cracked screen are the usual causes; tilt the phone.

Your leads

  • Only attendees who ticked the consent box at registration appear in your lead list.
  • Leads show name, agency, title, and email, plus Decision maker or Influences purchasing when the attendee told us. They open after the show when the committee releases them; then Download CSV from Leads.
  • The list is yours to follow up with. Please do not share it outside your company.

At the booth

  • Keep a phone on a charger; the camera uses battery.
  • Conference wifi or your cell data both work. If the signal drops, keep scanning. Open Scan once while you have signal: the phone then keeps this event's attendee list and recognizes badges on its own. The line at the top says Online or Offline, when the list was made (for example "Offline, list from 9:42 AM"), and how many scans are pending.
  • Offline, green still shows the visitor's name and agency at once; the scan is kept on your phone with the time you scanned it and sent on its own when the signal is back. Red "Not on the list" means the badge is not on the list the phone has; it is still kept and checked again when you are back online, so a late registration is not lost. Leave the Scan page open until the pending count is 0. If the server refuses a saved scan, it is listed on the page.
  • The attendee list on the phone has names and agencies only (titles only for people who agreed to share their details), never emails or phone numbers. It is removed when you sign out.
  • Questions on site: the registration desk can reach the committee.
