Terms and refund policy

These terms apply to registrations, exhibit booths, sponsorships, and purchases for the Oklahoma Public Safety Conference, October 9 to 14, 2027. By registering, reserving a booth, sponsoring, or buying through this site, you agree to them. Questions go to the committee through the contact page.

Registration

  • Your registration covers the sessions and meals listed for your ticket type on the registration page.
  • Substitutions: another person from your agency may attend in your place at no charge, at any time, including at the registration desk. Use the link in your confirmation email or tell the desk.
  • Cancellations: send cancellations through the contact page.
    • Received by September 9, 2027: full refund, less a $25 processing fee.
    • Received September 10 to September 25, 2027: 50% refund.
    • Received after September 25, 2027: no refund. A substitution is still welcome.
  • No-shows are not refunded.
  • The processing fee covers card fees, which are not returned to us when a payment is refunded.

Exhibitors and sponsors

  • Holds: a booth reserved for card payment is held for 30 minutes while you check out. If payment is not completed, the booth goes back on the floor plan. A booth paid by bank transfer stays held while the transfer clears.
  • Invoices: booths and sponsorships paid by invoice, check, purchase order, or ACH are due 30 days from the invoice date. A purchase order reserves the booth until the invoice due date. Booths with an invoice still unpaid on September 9, 2027 may be released to other exhibitors after a written reminder.
  • Cancellations: send cancellations in writing through the contact page.
    • Received by July 11, 2027: full refund, less a 25% administrative fee.
    • Received July 12 to August 10, 2027: 50% refund.
    • Received after August 10, 2027: no refund.
  • Sponsorships follow the same schedule, except that once a sponsor's name or logo has gone to print for signs or the program, the sponsorship is not refundable.
  • Booth assignments: the committee may move a booth assignment when the floor plan requires it, and will offer a booth of equal or greater value.
  • Booth details: what each booth includes, move-in and move-out times, and any venue requirements are sent to every exhibitor by the committee before the conference.
  • Responsibility: exhibitors are responsible for their own displays, equipment, and staff, and for any damage they cause to the venue. Exhibitors carry their own insurance for their property and staff; the conference and the venue are not responsible for loss of or damage to exhibitor property.

Payments and refunds

  • Card payments are processed by Stripe. Card numbers are entered on Stripe's own secure page and never reach this site.
  • Refunds go back to the original payment method: to the card for card payments, or by check for invoice payments.
  • Approved refunds are issued within 15 business days. Card refunds can take another 5 to 10 days to appear on your statement.

If the conference changes

  • If the organizers cancel the conference, registrations, booths, and sponsorships are refunded in full.
  • If the conference is cancelled for reasons outside the organizers' control, such as severe weather, a public emergency, or the loss of the venue, you may choose a full credit toward the next conference or a refund less costs already incurred for the event.
  • The agenda, speakers, and venue details may change; changes are posted on this site.

At the conference

  • Everyone at the conference agrees to the code of conduct.
  • Photos and video may be taken at the conference and used to promote future conferences. Tell the registration desk if you do not want to appear.
  • How your information is handled is described in the privacy policy.
