The Oklahoma Public Safety Conference (OKPSC) is hosted by the Oklahoma chapters of APCO International and the National Emergency Number Association (NENA). This page explains what we collect when you use okpsc.com and the conference app, why, who can see it, and how to ask us to change or delete it. Questions go to the committee: send us a message.

What we collect

When you register. Your name, email, agency, title, the name for your badge, and, if you give them, a phone number, your APCO or NENA membership, dietary needs, and accessibility needs. For each order we keep who paid, how (card, invoice, purchase order, check, or bank transfer), the amounts, and any purchase order number.

When you pay by card. Card payments are handled entirely by Stripe. Your card number never reaches our systems; we only see that a payment succeeded and its amount.

When you sign in. Your email address, so we can send you a one-time code or sign-in link. A small cookie keeps you signed in on that device.

When you ask to hear when something opens. Your email address and what you asked about: registration, booth sales, the call for presentations, or award nominations. We send one email per topic, only about this conference, and every email has a link that takes your address off the list.

When you write to the committee. Your name, email, agency if you give it, and your message. It goes to the committee by email and stays in the committee's inbox.

At the conference. When you check in, attend sessions, visit exhibitor booths, enter drawings, or are admitted to the banquet, we record that it happened and when. Session check-ins add up to the continuing education hours on your certificate.

Photos you share. Photos and short videos you upload through the conference app, with your name as the uploader. We remove location information from them. The committee reviews every upload, and only approved ones are shown on the screens at the conference.

Award nominations. The nominator's name and contact details, and the nominee's name, agency, the story you tell, and any letters or photos you attach. Reviewers from other state chapters score each nomination without seeing who sent it.

Exhibitors and speakers. Company profiles, logos, staff badge details, and booth information for exhibitors; proposals, bios, photos, and session materials for speakers.

Your profile, if you add one. A headshot and links to your social media accounts, and your agency's, in the conference app. Only you and the committee can see them. We crop headshots and remove location information from them. Exhibitors can add their company's logo and social media links, which are shown publicly on the exhibitors page.

Visiting the website. Cloudflare delivers and protects the site and counts visits without cookies. Our forms use Cloudflare Turnstile to tell people from automated programs. Our server keeps short technical logs (the address a request came from and the page it asked for) for security; they are kept for a short time and then overwritten.

Optional things. If you allow notifications on your phone, a technical address so we can send conference announcements. Your browser also remembers small preferences on your device, such as day or night mode. The approval letter builder runs in your browser; nothing you type into it is sent to us.

How we use it

  • To run registration, payments, invoices, badges, and check-in.
  • To send you confirmations, receipts, sign-in codes, certificates, conference announcements, and the opening emails you asked for.
  • To run the exhibit hall card, prize drawings, the awards, and the banquet door.
  • To record continuing education hours and issue certificates.
  • To plan future conferences, using totals and session ratings.

We do not sell your information, and we do not use it for advertising.

Who can see it

  • The conference committee can see registrations and contact details, to run the conference.
  • Exhibitors see your name, agency, title, and email only if you checked the box allowing it when you registered, only for booths that scanned your badge, and only after the committee releases the lists.
  • The public sees speakers' names, titles, agencies, bios, and photos on the agenda and speakers pages once their session is on the published agenda, exhibitors' company profiles, and the names and agencies of award winners once the committee announces them.
  • Everyone in the room may see your name and agency if you win a drawing, because winners are shown on the screen.
  • Service providers who run parts of the platform for us, and only for that purpose: Cloudflare (website delivery, security, bot checks, visit counts, and file storage), Hostinger (the server), Stripe (card payments), Postmark (email), Sentry (error reports, set up to leave out personal details), and OpenRouter (AI help with drafts for the committee; we never send it email addresses, phone numbers, street addresses, or payment details, and we tell it not to keep or train on what we send).
  • Anyone else only if the law requires it.

Facebook and Instagram

The committee uses Postiz, a social media scheduling tool, to post to OKPSC's Facebook Page and Instagram account. It holds only the connection to those OKPSC accounts and the posts the committee writes. It does not collect information about people who see or react to our posts. To remove the connection, the committee disconnects it in Postiz, or anyone can ask at the address below.

How long we keep it

We keep registration and conference records so we can issue certificates, answer questions about past conferences, and keep accurate financial records. The list of people waiting to hear when something opens is used only for the conference they signed up for. Server backups are kept for 30 days and then deleted.

Your choices

  • See or correct your information: sign in to the conference app, or send the committee a message.
  • Stop the opening emails: use the link at the bottom of any of them.
  • Stop sharing with exhibitors: email us before the conference ends and we will remove you from the lead lists.
  • Turn off notifications: in your phone's or browser's settings.
  • Delete your information: send the committee a message using the email address you registered with, and ask us to delete your data. We will cancel your registration and remove your personal details, except what we must keep for financial records, and confirm when it is done. The same applies to anything connected through our Facebook or Instagram accounts.

Changes

If this page changes, we will update the date at the top.
